Summary of Key Functions  

The Office Assistant's responsibilities include general clerical support for program management. This job reports to the Administrative Officer. 

Roles and Responsibilities   

Act as an Office Assistant under the direct direction of the Administrative Officer/Assistant.  

Maintain consumables inventory and distribution records in accordance with organisational rules and procedures, as allocated. 

Issue office stationery to project staff, including record keeping. Maintain office files and keep a record of stationery.  

Help detect issues with supply and material quality, suitability, and usage.  

Documents will be photocopied, collated, sorted, and distributed as desired. Keep photocopiers filled with paper and toner.  

 

Ensure that office equipment and technological appliances are maintained and used correctly. Identify and report maintenance issues.  

Support finance in bank transactions such as cheque deposits and cash withdrawals.  

Ensure and report on the timely repair and maintenance of office premises.  

Maintain the receiving and dispatch registers.  

Maintains an electronic copy of the attendance sheet on a daily basis and compiles a monthly staff in and out of office report that is shared with all employees by the end of each month. 

Maintain current employee leave records.  

Assist the supply chain in planning events/seminars/workshops, etc.  

Participate in professional training and development activities as required or requested.  

Perform any ad hoc duties specified by your supervisor. 

Qualifications and Experience:  

A minimum of two years' experience in office administration or a related discipline.  

A bachelor's degree is required; extra experience as an administrative assistant or secretary is preferred.  

Proficient with Microsoft Office (Word, Excel, Outlook, and PowerPoint) and office equipment.  

Excellent organisational and time management skills, as well as the ability to prioritise activities.  

Excellent oral and written communication abilities.  

Ability to work independently with little supervision and as part of a team.  

Attention to detail and problem-solving abilities.  

The ability to speak Pashto or Dari is an extra advantage.  

Ability to operate under pressure.
